Requesting a Quota Increase

Before requesting a quota increase, please consider these steps.

 

  1. What is the business need in justifying the storage increase?
  2. Are you currently being warned about their storage quota or actually experiencing a send prohibition?
  3. Has any low-level auditing been done on mailbox content (including the sent items) to see what is taking up your current  space?
  4. Has the age of stored e-mails been assessed? How much is over six months old? A year old? Three years old? Can some of this mail be archived or deleted?
  5. Have you retained electronic messages from their mailbox according to state and federal laws, making sure to remove personal and incidental communication (e.g. social networking e-mails from Facebook, MySpace, Twitter, other personal mail, mp3's, video files, etc.)
  6. Have you removed or moved large attachments from their production account to their SharePoint site or other file storage (local or networked)?
  7. What steps have you taken to clean your mailbox? Delete the trash, remove old transitory communication, archiving old messages, etc.?
